Axia Faculty Highlight ~ Understanding the Incomplete Policy

There will be times when students, due to unanticipated circumstances or events, may request the grade of “I” (Incomplete). While granting an incomplete is at the instructor’s discretion, if approved, the following criteria must be met beforehand:

Attendance requirements have been met for the course. This means that the student cannot miss three weeks of attendance.

Student is earning a passing grade in the course at the time the Incomplete is requested. A D- is considered a passing grade.
Student must request, in writing, a grade of Incomplete during the last week of class, prior to the course end date.
Student and instructor enter into a written agreement containing:
A course completion plan (you can use the incomplete contract located on the Axia webpage)
A clearly identified extended course deadline not to exceed 5 weeks from the original course end date
Acknowledgment that the final course grade will be reduced one (1) full letter grade in exchange for the extra time allowed to complete the coursework, regardless of the circumstances.
Some key points to remember:
While it is up to instructor’s discretion to grant an Incomplete, it is not appropriate to grant an incomplete simply because a student submits work in the wrong format or has submitted a final assignment late.
It is not appropriate to accept assignments after the course end date without granting an incomplete, regardless of extenuating circumstances.
It is important to be aware of the student’s attendance throughout your class, as a student will only be eligible to earn a letter grade when attendance is met. Please make this clear to your students when considering an Incomplete.
A student must request an Incomplete in writing in the Individual Forum before the course has ended. In order for a student to be granted an Incomplete, they need to ask for this extension, it is not appropriate for you to offer an Incomplete unless it has been requested.
There is an Incomplete Contract located on the Axia Faculty log in page under My Academic Program. Select Student Grades > Incomplete Contract. The student and you must come to an agreement regarding deadlines outlined in this contract prior to the course end date. Please remember that deadlines cannot exceed five weeks from the course end date.
